ADMINISTRATIVE ASSISTANT Our fast-growing company is looking for an experienced, energetic part-time administrative assistant with exceptional organizational, written and verbal communication skills, a self-starter attitude, and a proven track record in administrative roles. This is a part-time, remote or hybrid position with flexible hours and the potential for full-time if desired. We require a minimum commitment of 16 to 24 hours per week. You will primarily work from home; you will be required to attend in-person training and occasional in-person meetings (approx. 4x per month) in Rochester, NY. RESPONSIBILITIES - Administrative Support
- Provide administrative and operational support to the company President, executives and sales personnel
- Manage meeting/project calendars and create communications to ensure follow up and timely deliverables
- Support and troubleshoot order fulfillment with online, email and phone communications
- Asset Management
- Catalogue and maintain electronic files, records, contact information and client correspondence in our customer and project management database systems
- Organize image and video assets for marketing purposes
- Transcribe voice memos and recorded calls into written notes
OUR IDEAL CANDIDATE - Relevant Experience:
- Minimum two years’ experience in a business, administrative or customer service role required
- Associate or Bachelor’s degree preferred
- Location:
- Based in Rochester, NY, or ability to commute to Rochester for in-person training and occasional meetings (4x per month)
- Computer Skills:
- Must possess strong computer skills including MS Office (Word, Excel, PowerPoint), Google Suite, Dropbox, Zoom and Adobe Acrobat
- Proficient using both Apple iOS and Microsoft Windows OS
- Communication Skills:
- Outstanding written, verbal and interpersonal communication skills required
- Must be able to interact professionally with executives, and maintain high level of integrity with confidential information
- Organizational Expertise:
- Possess strong organizational and problem-solving skills with the ability to handle overlapping projects, pivot quickly, work well under pressure and utilize effective time management skills
- Self-starter Personality:
- Highly motivated, energetic self-starter with an excellent work ethic and “no task is too small” attitude
- Must be able to perform administrative duties independently with little oversight and be eager to assume new responsibilities as needed
